Privacy Policy

Helmstay is an operations coordination service for short-term rental properties, operated by Pagosa Tech Solutions, LLC ("Helmstay", "we", "us"), 2580 CR 917, Pagosa Springs, CO 81147, USA. Helmstay works inside the message threads a property already runs on — connecting owners, cleaning and maintenance staff, and guests around the operations of a specific property. This policy describes what information we collect, how we use it, and the choices you have. It applies to helmstay.com and to the Helmstay messaging service.

Information we collect

• Account information. When a property owner signs up: name, email address, phone number, property details, and billing information.
• Participant contact information. Property owners enroll the people who work on their property (cleaners, maintenance staff): names, phone numbers, roles, and preferred language. Owners attest that each person has agreed to receive work-coordination messages.
• Booking information. From the property's connected booking or property management system: guest names, contact numbers, stay dates, and booking details relevant to operating the stay.
• Messages. The content of messages sent and received through a property's Helmstay line, which forms the property's operational record.
• Technical data. Standard server logs (IP address, timestamps, request data) used for security and reliability.

How we use information

We use information solely to operate the service: routing messages among a property's participants, coordinating turnovers and maintenance, requesting and recording owner approvals, answering guest questions about a stay, and producing operational summaries for the owner. Some messages are drafted with AI assistance under templates and rules the property owner controls; actions that matter (dispatch, fees, calendar changes) require the owner's explicit approval. We do not use your information for advertising, and we do not sell personal information.

Text messaging

Helmstay sends and receives SMS and messaging-app messages as the core of the service. Full program details and opt-in options are published at helmstay.com/sms. The following applies to our text messaging program:

• Message frequency varies with property activity. Message and data rates may apply.
• Reply STOP at any time to opt out of texts from a Helmstay number. Reply HELP for help or contact hello@helmstay.com.
• The first message to any new participant identifies the service and the property and includes opt-out instructions. Opt-in records are retained.
• No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with, or sold to, any third party — excluding the vendors and service providers who deliver messages on our behalf, and only for that delivery.

How we share information

We share information only with the service providers required to run Helmstay: messaging and telecommunications providers that deliver texts, our hosting provider, our payment processor, and AI model providers (currently Anthropic) that process message content to draft replies (as processors, not for their own use). Within a property, operational information is visible to that property's participants as the service requires — for example, a cleaner sees the turnover schedule, and the owner sees the property's message record. We may disclose information if required by law. We do not sell personal information to anyone.

Data retention

We keep account and operational records for as long as the property's account is active, and as needed afterward for legal and accounting purposes. Property owners may request deletion of their account and its records by emailing hello@helmstay.com.

Security

Messages and data are transmitted over encrypted connections, stored with access controls, and handled on a least-privilege basis. No system is perfectly secure; we work to protect your information and will notify affected users of any breach as required by law.

Your choices

Any participant can stop receiving texts by replying STOP. Property owners can update or remove participants and property data from their account, or request a copy or deletion of their data by email. If you are a guest or staff member with a question about data a property holds, contact the property owner or email us and we will help route the request.

Children

Helmstay is a business tool and is not directed to children under 13. We do not knowingly collect information from children.

Changes to this policy

If we make material changes, we will update this page and revise the effective date. Continued use of the service after a change means you accept the updated policy.
